What actually happens after you say yes.
The uncomfortable questions are the ones worth answering before you sign. Who holds the keys. What goes live without asking you. What happens to your website and your phone number if this ends badly. This page answers all three, and where the answer is "it depends on your contract," it says that instead of pretending otherwise.
- Nothing
- Goes live customer-facing without your approval
- At delivery
- Monthly billing starts when the build ships
- Yours
- Domain, profile, numbers, data, and customers
- Documented
- Blockers, not silent slipping timelines
How does Aura AI Pro work with clients?
Six stages: audit, scope, build, approve, launch, optimize. You supply accurate business information, access, and decisions. We do the strategy and implementation, then report the work and whatever performance data the platforms in scope can actually produce.
The control points matter more than the stages. Scope is documented before anything is built. Customer-facing work is approved before it goes live. Monthly billing on Growth and Dominate starts at delivery rather than at signature. And your business assets stay in your name the whole time.
Where this page describes ownership or offboarding, it describes the intended model. The signed agreement is what controls. See plans and terms.
Six stages, one accountable handoff.
The work inside each stage changes by plan. The control points do not.
- 01
Audit
Rankings, pages, Google Business Profile, call coverage, follow-up, reviews, the tools you already pay for, and the gaps you already suspect. You keep the findings whether you hire us or not.
- 02
Scope
Services, markets, pages, keywords, call rules, automations, access needed, who is responsible for what, exclusions, timeline, and price. Written down, before anything gets built.
- 03
Build
The approved SEO foundation, content, profile work, AI call configuration, follow-up workflows, and reporting setup. This is the part the setup fee covers.
- 04
Approve
You review the customer-facing content, call flows, routing, service-area rules, booking logic, and every automated message. Nothing reaches a customer before you have seen it.
- 05
Deliver and launch
The approved build goes live. On Growth and Dominate, monthly billing begins here, not while the build was still unfinished.
- 06
Optimize and report
Ongoing work at your plan's cadence. We separate what we completed, what the data shows, and what we recommend, because those are three different things.
No customer-facing launch without approval. That is not a courtesy, it is how the process is built. If you cannot get an approval turned around, the work waits and we tell you it is waiting.
We do the build. You supply the business truth.
The best system still needs accurate rules, timely access, and one person who can make a decision without a committee.
The keys we need
- Website admin, at the level the scope requires
- Google Business Profile manager access
- Analytics and Search Console
- CRM, calendar, and phone system where in scope
- DNS, when launch or tracking changes need it
The rules only you know
- Services you actually sell and areas you actually cover
- Pricing guidance the receptionist may share
- Office hours, routing, and escalation paths
- Booking rules and appointment types
- Who is authorised to approve changes
What we cannot see
- Anything published that is factually wrong
- Operational changes: new tech, new area, dropped service
- Lead quality problems, including leads you had to turn away
- Customer complaints about the automated experience
- Seasonal shifts before they hit, not after
Missing access and delayed approvals move the timeline. We document blockers rather than reporting progress on work that cannot proceed. If something has been sitting with you for two weeks, it will say so in the report.
Your business assets stay yours.
The vendors worth avoiding are the ones who register your domain in their name, own your Google profile, and route your phone number through something you cannot access. Here is the line, drawn explicitly.
| Asset or system | Who owns it | What we do with it |
|---|---|---|
| Domain name | You, in your name | Delegated access when DNS, tracking, or launch changes need it |
| Website | You own the completed site | Build, optimize, or edit within scope. Managed hosting continues while a service is active |
| Google Business Profile | Your company | Manager access only. We never take owner access or create it under our account |
| Phone numbers | Your company | Configure approved routing and intake. The numbers stay portable |
| Customer records and business data | Your company | Configure approved follow-up and reporting. Never shared or reused across clients |
| Content and deliverables | Per your written agreement | Create, revise, implement, and maintain the approved work |
| Our frameworks, prompts, and internal tools | Aura AI Pro retains these | Used to deliver your result. Not transferred with the engagement |
| If this page and your contract disagree | The contract winsAnd this page is wrong | Tell usSo we can fix whichever one is out of date |
We build the experience. You authorize it.
The split matters most when something goes wrong at 9pm. These are the decisions that are always yours and the ones we make without asking.
You approve
- Website copy, service claims, location claims, offers, and calls to action
- Receptionist greeting, disclosure, qualification, routing, booking, transfer, and escalation
- Pricing guidance, service-area boundaries, office hours, and technician handoff rules
- Automated text and email content, triggers, timing, opt-out handling, and sequence limits
- New integrations, new locations, and anything outside the approved scope
We handle
- Research, architecture, implementation, testing, and quality checks
- SEO work, content production, profile activity, and automation inside scope
- Routine optimization that stays within your approved business rules
- Issue tracking, open questions, and flagging work blocked on your decision
- Reporting and strategy conversations at your plan's cadence
If something needs a judgment call we are not authorised to make, it stops and comes to you. A system that guesses at your pricing or your service area to keep moving is worse than one that waits.
Report the work. Show what the data can prove.
Reporting expands as more of the lead journey gets connected. What is available depends on the platforms and integrations in your scope, not on what would make the report look better.
| Reporting area | SEO Starter | Growth | Dominate |
|---|---|---|---|
| Cadence | Monthly report | Bi-weekly strategy calls | Weekly strategy calls |
| Search visibility | Tracked keywords, work completed, technical findings | Expanded keyword, page, profile, and conversion review | Branch and market-level visibility |
| Google Business Profile | Activity and changes | Plus posts, reviews, and grid scans | Per location, compared |
| Call activity | Not included unless scoped | Receptionist and call outcome reporting | Multi-location routing and outcomes |
| Follow-up and automation | Not included | Missed-call, nurture, review, and reactivation activity | Location-specific workflows and exceptions |
| Decision log | Open SEO questions and priorities | Open decisions across search, calls, and follow-up | Cross-location owners and dependencies |
| The reporting principle | Three sections, never mergedWhat we completed, what the data shows, and what we recommend. A report should not imply causation the data cannot prove | ||
Enough access to do the work. No more than that.
An agency asking for owner access to everything is either careless or building a reason you cannot leave. Neither is a good sign.
So we document what access each piece of scope actually requires, who on your side can approve changes, and what happens when something we depend on is unavailable. Platform permissions, credentials, third-party rate limits, and vendor outages all affect delivery, and pretending otherwise just moves the surprise to the end of the month.
Requested per system, for the tasks in scope. Manager rather than owner wherever the platform allows it.
You name who can approve content, business rules, and scope changes. One person, ideally, with a named backup.
Anything that materially affects the customer experience is recorded and surfaced in the next report.
Work that cannot proceed is reported as blocked, with what it is waiting on and who owns it.
Our access is removed. Asset and data transitions follow the agreement and whatever the platforms actually permit.
What leaves with you, and what doesn't.
Most agencies answer this with "you own your assets," which is true and useless. The question you are actually asking is which specific things keep working the day after you cancel. Here is that list.
Registered in your name from day one. Nothing to transfer. You change the nameservers and it points wherever you want.
WordPress files and the database, handed over. Any competent host can stand it back up. This is most of why we build on WordPress rather than something proprietary.
They are in the site. Nothing separate to hand over.
You held owner access the whole time. We remove our manager access and nothing about the listing changes.
Exported to CSV: contacts, conversation history, call logs, and outcomes. Call recordings and transcripts are retained for 90 days, so you get the last three months of those rather than the full history. Pull anything older before you cancel.
Never at risk. Your main number was always yours. We forward it into the system rather than taking it over, so cancelling changes nothing about it.
Tracking and AI answering numbers are provisioned inside our call platform and can be ported out to another carrier in most cases. It takes days to weeks, not hours. Numbers set up outside that platform may not be portable, so ask about your specific numbers before you sign rather than during a cancellation.
No. They are built inside our platform and they stop when the engagement stops. You keep the contacts and the history. The workflows themselves do not follow you.
No. The call flow, qualification logic, and routing rules are configuration in our system. The transcripts and lead records export. The receptionist does not.
No. The underlying data exports. The views built on top of it do not.
Ends with the engagement, or continues at $100 a year if you would rather leave the site where it is. Your choice, not ours.
The three that do not port are the honest cost of a managed system. Any vendor telling you their automations come with you is either running something you could have built yourself or has not thought about it. Ask the same question of everyone you are considering.
This summary is not the contract. Final transition duties, timing, fees, licences, and exceptions are governed by the signed agreement. If anything here turns out to differ from your agreement, the agreement controls and this page needs correcting.
What clients ask before signing.
If the answer here is not enough, ask on the call. We would rather lose a deal than oversell one.
What happens during the audit?
What do you need from us?
Will anything go live without our approval?
When does monthly billing begin?
Who owns the website, domain, profile, and customer data?
What exactly do you report?
Can the scope change once work has started?
What happens when the engagement ends?
Why don't the automations come with us?
Do you work with our competitors?
See the gaps. Then define the work.
We review the current journey, show you what we found, and document the next step before asking you to approve anything. You keep the findings either way.
